About your Privacy with the Clarkson Soccer Club

We at the Clarkson Soccer Club (CSC or simply the Club) are committed to a voluntary privacy policy for our registrants. The objective of this policy is to ensure that information that could be used to identify you ("Personal Information") be managed in a responsible and transparent manner.

This Privacy Policy relates to your privacy as a club registrant and/or user of our websites at clarksonsoccer.com (Sites). The privacy of our members is important to us. We may request Personal Information from time to time in order to enable you to participate in and enjoy various membership benefits. We are committed to advising you on how we use your Personal Information. Unless you authorize us to do otherwise, we will ensure that the Personal Information that you provide to us will be protected and not disclosed to any third parties in accordance with this Privacy Policy.

 


Protecting Your Personal Information

We will keep your Personal Information and safeguard it from unauthorized access. We will keep your Personal Information only as long as necessary or relevant for the identified purposes or as required by law. Where your Personal Information is kept in paper form, it will generally be kept under lock and key. Where your Personal Information is kept electronically, it will reside in secure data storage and be protected by the passwords.


Collection of your Personal Information

The Clarkson Soccer Club requires personal information from its members (players, coaches, managers, team staff and volunteers) in order to offer its various members services. This information is collected via appropriate CSC and OSA registration forms, historical participation, and website activity logs.


We generally request the registrant's:

 

  • Name and personal and emergency contact information including address, phone numbers and email
  • Proof of age and residency within the club's district
  • General health information as it relates to the safety of the member and fellow members
  • Soccer experience.
  • Member appraisal information
  • For volunteers: volunteer screening information including a review of Police Records Search
  • Various historical activity information such as past participation in members services
  • Interests and preferences re club services
  • Various website activity including IP address and online activity.

 

The club's website may use a browser feature called a "cookie" to collect information about you and your use of the Sites. Cookies are small data files that web sites write to your hard drive when you visit them in order to "track" your visit to the site. By themselves, cookies cannot be used to disclose the individual identity of any site user cookies identify your browser – but not you – to our servers when you visit our Sites. Unless you specifically tell us, we will not know who you are, even though we assign your browser a cookie. If you opt not to accept cookies you may not be able to use some of the features on the sites.

 


How your Personal Information is used

Part of our commitment to you is to tell you how we use and won't use the Personal Information that we collect:

  • A limited set of your Personal Information is shared with our Governing Bodies as required for registration
    • The Peel Halton Soccer Association,
      • Golden Horseshoe Soccer League (GHSL)
      • Peel Halton District League (PHDL) Youth
      • Peel Halton District League (PHDL) Development
    • The Ontario Soccer Association,
    • The Ontario Indoor Soccer Association,
    • The Canadian Soccer League
  • A limited set of your Personal Information is shared with our insurer in connection with insurance coverage.
  • A much more limited set of your Personal Information (typically your name, date of birth, registration number and jersey number and position) is provided when member teams register for non-Club tournaments.
  • We share your Personal Information with our professional advisors including but not limited to the Club's lawyers and accountants in performing their duties within the club's mandate.
  • The Club uses your Personal Information to organize and select teams for the indoor and outdoor soccer and soccer development programmes and for other purposes within the Charter and mandate of the Clarkson Soccer Club.
  • The club may disclose your Personal Information to staff and directors of the CSC as well as coaches, managers, conveners, game officials and other Club volunteers.
  • The Ontario Soccer Association has partnered with a third-party registration partner ITSportsnet. This partner is governed by its own privacy policy.
  • The Club uses historical participation information, interests and collected preferences re Club services and various website activity in order to determine which features and services members like and don't like so that we can improve what we do.
  • We prepare aggregated user statistics or information summaries in order to describe our services to third parties such as prospective sponsors and advertisers and for other lawful purposes. An advertiser or vendor on our Sites will never have direct access to your Personal Information unless you provide such information to them directly.

Whenever we share your personal Information, we endeavour to limit what is shared to only the minimum information required to complete the service.

We will not disclose Personal Information about you to any third party without first obtaining your consent to do so. However, we may have to disclose Personal Information when legally obligated to do so (such as under law, regulation, search warrant, subpoena or court order), or where the personal safety of Club members or other members of the public are at risk, or if the rights or property of the Clarkson Soccer Club are at risk.


Police Volunteer Records Search

The Club adheres to its Volunteer Screening Procedures. Within this policy, all Club directors, convenors, coaches, managers, team staff and volunteers must complete and share the results of a Police Records Search with the Club on a periodic basis.


Control of your Personal/Corporate Information

Files are maintained on any information in your file including applications, enquiries, complaints, compliments, insurance and other correspondence made by you and our response if any.
The Clarkson Soccer Club is maintains all player, coach, team staff and volunteer registration files for several years as required by its Governing Bodies.

You control the Personal Information you provide. When you do opt to supply Personal Information in order to take advantage of the Club's member services, that information represents the Personal Information in your 'personal file'. You may access this file at anytime to:

  • Change the Personal Information already provided;
  • Opt out of member services or change the services you use.
     

When requested to provide any Personal Information, you may decline to do so.

A quick inquiry and/or correction to a member's file will be made free of charge. If a member requests an official disclosure in writing of the personal information collected by the Club concerning that member or a member for whom they are a parent or legal guardian, the Club shall disclose such information without delay. The Clarkson Soccer Club reserves the right to charge an administration fee of $25.00 for any such request. Furthermore, the Club may deny such a request, if providing a response would result in the disclosure of Personal Information concerning a third party.

The Clarkson Soccer Club will occasionally update this Statement of Privacy to reflect Club and member feedback. The Clarkson Soccer Club encourages you to periodically review this Statement to be informed of how the Club is protecting your information.
